Music Production for Women (MPW) is a pioneering organization dedicated to empowering women in the music production industry. We offer a range of courses, workshops, and resources designed to make music production accessible and inclusive. As we continue to grow, we are seeking an organized and proactive Office Administrator to join our dynamic team.
The Office Administrator will play a crucial role in ensuring the smooth operation of MPW’s daily activities. This position involves managing routine back-end tasks, providing first-line support to our students, and assisting the CEO, Xylo Aria, with administrative tasks. The ideal candidate will be a highly organized, detail-oriented, and proactive individual who thrives in a fast-paced environment.
Manage day-to-day administrative tasks, including scheduling, correspondence, and document management.
Assist with the preparation and distribution of internal communications and reports.
Serve as the first point of contact for student queries via email, phone, or chat.
Provide timely and accurate responses to student enquiries, ensuring a positive experience.
Assist with the onboarding process for new students, including course enrollment and resource distribution.
Manage the CEO’s calendar, including scheduling meetings, appointments, and travel arrangements.
Assist with personal tasks and errands as needed to support the CEO’s productivity.
Prepare meeting agendas, take minutes, and follow up on action items.
Maintain and organize digital files and databases.
Coordinate with external vendors and service providers as needed.
Ensure smooth operation of virtual office tools and software.
Assist in the planning and coordination of virtual and in-person events.
Manage RSVPs, event logistics, and follow-up communications.
Previous experience in an administrative or office assistant role, preferably in a remote setting.
Strong organizational and time management skills.
Excellent written and verbal communication skills.
Ability to work independently and manage multiple tasks simultaneously.
Access to a well performing laptop.
Basic knowledge of music production.
A proactive and problem-solving attitude.
Ability to adapt to change within a fast-paced environment.
Friendly and approachable demeanour as a first point of contact for students.
Familiarity with the music industry knowledge is a plus!
Basic graphic design skills using Canva.
Basic video editing abilities.
Proficiency in a musical instrument.
